    Our lawful basis is the performance of our contract with you and our legitimate interests in providing customer service, keeping accurate records, resolving disputes and protecting our business.

    Legal and accounting obligations

    We may use and retain information to maintain tax and accounting records, respond to lawful requests, comply with consumer protection requirements and meet our other legal and regulatory responsibilities.

    Who we share your personal information with

    We only share personal information where it is necessary to process your order, provide a service you have requested, operate our website, comply with the law or protect our legitimate business interests.

    We may share your information with the following organisations:

    Shopify and payment providers

    Our online shop is hosted by Shopify. Shopify helps us operate the website, manage orders and process transactions. Payment information is processed securely by Shopify and the payment provider selected at checkout. Beds on Legs Ltd does not normally receive or store your complete card details.

    You can read more about how Shopify handles personal information in the Shopify Consumer Privacy Policy.

    Klarna

    If you choose a Klarna payment option, we will share relevant contact, identification and order information with Klarna. Klarna uses this information to assess whether you qualify for its payment options, provide the selected payment service, manage payments and prevent fraud.

    Klarna is responsible for how it uses your information for these purposes. Further information is available in Klarna’s privacy notice.

    Manufacturers and suppliers

    Many of our products are sent directly from the manufacturer or supplier. We may provide them with the information needed to manufacture, arrange, deliver or service your order. This will normally include your name, delivery address, telephone number, email address, order details and relevant delivery instructions.

    Delivery companies

    We use AIT and a range of other delivery companies. Our manufacturers and suppliers may also appoint their own delivery partners.

    The delivery company used depends on the products ordered, the manufacturer or supplier and the delivery location. This means that the identity of the delivery company may not always be known when you place your order.

    We, our manufacturers or our suppliers will only share the information reasonably necessary to arrange and complete your delivery. This may include your name, delivery address, telephone number, email address, order details and relevant access or delivery instructions.

    A delivery company may contact you directly to arrange a delivery date, provide delivery updates or resolve a delivery-related issue.

    If you would like to know which manufacturer, supplier or delivery company has received your information in connection with a particular order, please contact us at sales@bedsonlegs.co.uk.

    Assembly, disposal and other service providers

    If you purchase assembly, disposal or another additional service, we may share the information required with the company appointed to provide that service.

    Technology and professional service providers

    We may share information with trusted organisations that help us operate our website and business, including providers of:

    • website hosting and ecommerce services;
    • payment processing and fraud prevention;
    • email, communications and IT support;
    • accounting and record-keeping systems;
    • website analytics and cookie management;
    • customer reviews and feedback services; and
    • legal, accounting, insurance and other professional advice.

    Authorities and legal disclosures

    We may disclose personal information to government bodies, regulators, courts, law enforcement agencies, payment providers, banks or other parties where required by law or where necessary to prevent fraud or establish, exercise or defend a legal claim.

    We do not sell or rent your personal information to third parties.

    International transfers

    Some of the service providers we use, including Shopify and certain technology providers, may process or store personal information outside the United Kingdom.

    Where personal information is transferred outside the UK, we will take reasonable steps to ensure that an appropriate safeguard is in place. This may include transferring information to a country covered by UK adequacy regulations or using approved contractual safeguards.

    Further information about the safeguards used by a particular provider can be found in that provider’s privacy notice or requested from us using the contact details in this policy.

    How long we keep your information

    We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet our legal, tax, accounting and contractual obligations.

    • Order and transaction records: normally retained for six years after the end of the relevant financial period to meet tax, accounting and legal requirements.
    • Customer service, complaint and warranty records: normally retained for up to six years after the matter is concluded, or longer where a claim or dispute remains ongoing.
    • Uncompleted enquiries: normally retained for up to two years after our last contact unless there is a reason to keep them for longer.
    • Marketing information: retained until you unsubscribe, withdraw your consent or we determine that the information is no longer required. We may retain a minimal suppression record to make sure we respect your request not to receive marketing.
    • Online account information: retained while your account remains active and for a reasonable period afterwards, subject to any information we must retain for legal or contractual reasons.
    • Cookie information: retained for the periods stated in our cookie consent tool or cookie information.

    We may retain information for longer where this is required by law or necessary in connection with an ongoing complaint, chargeback, warranty claim, investigation or legal dispute.

    How we protect your information

    We take reasonable physical, electronic and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

    Access to personal information is limited to people and service providers who need it for legitimate business purposes. However, no internet transmission or electronic storage system can be guaranteed to be completely secure.

    Cookies and similar technologies

    Cookies are small files stored on your device when you visit a website. They allow a website to function, remember preferences and provide information about how the website is used.

    You can accept, reject or change your non-essential cookie choices through the cookie settings available on our website. You can also control cookies through your browser settings, although blocking essential cookies may prevent parts of the website from working correctly.

    These rights are not absolute and may not apply in every situation. For example, we may need to keep certain order information to comply with our legal and accounting obligations or to deal with a legal claim.

    You will not normally have to pay a fee to exercise your rights. We may ask for information to confirm your identity before responding to a request.

    To exercise your rights, email sales@bedsonlegs.co.uk or write to:

    Beds on Legs Ltd does not normally make decisions about you based solely on automated processing that have a legal or similarly significant effect.

    If you apply to use a payment or finance service provided by Klarna or another payment provider, that provider may carry out automated identity, fraud, affordability or credit assessments. The provider is responsible for that processing, and you should read its privacy notice before applying.
